Through an efficient advertising and marketing program we ensure low vacancy rates. We advertise widely on your behalf in all major local newspapers and ensure visibility of available properties through our marketing boards. In the interest of the property owner all prospective tenants are screened on the following criteria:

·         ITC (Information Trust Corporation) Experian (Information Solutions and Risk Management) and TPN verifications are done to check credit ratings (Please see What is TPN?, below)

·         Previous lessors, where possible, are contacted to confirm the tenant’s track record

·         Employers are contacted to confirm reliability and work habits

·         All is done to ensure that people of similar lifestyles are selected to match the existing tenant mix.

·         Criminal checks are conducted to filter out delinquent tenants.

Not all people listed on ITC and Experian, are excluded from renting property from us. If it can be confirmed that they are not a rent risk, we do accommodate such individuals.

WHAT IS TPN?

TPN is a registered credit bureau, maintaining a database specific to the letting industry, collecting information on existing and prospective tenants.

Importantly, TPN credit bureau collects not only adverse tenant information but also positive credit

information. A positive credit record is extremely advantageous to the tenant, as it increases the tenants ability to access credit in the market place.

On the other hand, a negative credit record (or “blacklisting”), will severely restrict the tenants access to further credit and the tenants ability to conclude further agreements of lease.

As such, the tenant is invited to consider their agreement of lease as an opportunity to build up a

positive credit profile, by ensuring that all payments due in respect of the lease are made on time

and in full.

There is in excess of 3,000 companies who contribute and are affiliates of TPN.

            With TPN we are also able to:

                        * Check ITC and Experian status

                        * Check Tenant payment profile status

* Check bank accounts

                        * Check business names and members

                        * Verify ID’s

                        * Add defaulters

                        * Place the tenant on ITC and Experian

Legally binding leases are drawn up to protect the landlord and tenant. The leases cover issues such as rent increases, deposits and damage claims.

Deposits are deposited into an interest bearing trust account to protect the landlord in the event of a defaulting tenant or damage to the property.

We are registered with the Estate Agent Affairs Board and are members of the of of . The trust account is managed in compliance with the regulations laid down in the Estate Affairs Act. This account is audited annually, which frees the landlord of the responsibility of managing trust money.

Rent is collected in advance at the beginning of every month and paid into the owner’s account within the first seven (7) days of the month. Owners are notified of these payments on or before the seventh of each month via fax, e-mail, phone or SMS, whichever is more convenient for the owner.

Our maintenance team arranges and carries out repairs to properties.

Electrical and Plumbing work is performed by registered contractors, and general maintenance by Landlords approved service providers. Contact our office for a list of who we use.

(Note that Landlords do not add on a service fee for handling general maintenance)

Walk-through inspections are conducted before and after occupation and vacation of the property.

A standardized inspection list is completed and quotes are provided for any necessary repairs, the costs of which are offset against the deposit before the balance is refunded. We advise owners on maintenance required to maintain or enhance the value and return of their properties.

We arrange the cleaning of properties before occupation when required. Cleaning services include thorough interior cleaning, including carpets, as well as a garden and swimming pool clean up. A quote will be delivered to the owner or tenant for approval beforehand.

We Recommend CK Carpet Cleaning for all cleaning.

What happens if a tenant does not pay the rent when due?

1.)    All tenants receive a statement each month.

2.)    All rent is due on or before the 1 of each month

3.)    If rent is not received by the 2 of the month, we SMS the tenant to enquire about the outstanding rent.

4.)    If rent is not received by the 5 of the month, a Letter of Demand is delivered to the tenant by the Sheriff of the Court.

5.)    If rent is not received by the 15 of the month, the original documents are handed over to Smit Kruger attorneys, usually before 10:00 am.

6.)    An application is made to the court for Attachment. After the application is granted, the documents are taken to the Sheriff’s Office for execution of the attachment.

7.)    The Sheriff will visit the property anytime from noon onwards and proceed with the execution of the court order, unless the tenant can settle the account with the Sheriff at that time.

8.)    Should the tenant not be present, the Sheriff will open the residence with the aid of a locksmith.

9.)    The Sheriff may do the following:

* Empty and remove the fridge.

* Remove the TV, sound system, washing machine, clothes dryer and all other

     electrical appliances.

*  All furniture, except beds, will be removed

* Clothing will not be removed

* The fixed stove that belongs to the owner, will not be removed.

10.)            The tenant now has two choices:

1.      Contact the attorneys and arrange payment, or

2.      Ignore the action taken against them, in which case the confiscated  

       property will be sold within one calendar month.

11.)            The tenant can then vacate the property or stay there and wait to be evicted.

12.)            We encourage the tenant to vacate, and to give us back the property as soon as possible.

13.)            If the tenant chooses to stay, it will take two calendar months to evict the tenant.

14.)            The matter of the money that is still owed, will be handled as follows:

·                     The tenant will be handed over to a firm of attorneys that specializes in recovering money owed.

·                     This takes place at no cost to Landlords OR the owner. Instead, 33,3% is added to the delinquent tenant’s account, to cover the attorney’s costs.

·                     Please note: The cost of the attorneys is to your own account UNTIL such time as the money is recovered, either from the sale of the tenant’s property, or if the tenant settles the account.
